How Lonrecon Coordinates Multi-Product Medical Equipment BOQs for Distributors
A medical equipment distributor receives a new BOQ.
The list may contain hospital beds, bedside cabinets, patient monitors, suction units, examination equipment, operating room products, laboratory devices, medical refrigerators, diagnostic equipment and accessories.
Some projects contain several dozen items.
Others contain several hundred.
The distributor now has to find suitable products, contact different factories, compare specifications, collect catalogs and certificates, confirm packing information, estimate freight and prepare a complete offer before the deadline.
Finding a price for each product is only the beginning.
The harder part is turning information from different manufacturers into one quotation package that can be reviewed, submitted, purchased and shipped.
This is where Lonrecon provides value.
Some products are manufactured by Lonrecon.
Other products are sourced from qualified partner factories.
We coordinate the products, specifications, documents, production schedules, packing information and shipment requirements around one project.
The distributor does not need to manage every supplier separately.

A Large BOQ Is Not Just a Product List
A BOQ may look simple when it is opened in Excel.
Each row shows a product name, quantity and technical requirement.
But every row may create several separate questions.
For example:
- Which model should be proposed?
- Does the model meet the main technical requirements?
- What is included in the standard configuration?
- Which accessories are optional?
- Is the required certificate available?
- Does the certificate match the quoted model?
- Is a detailed product catalog available?
- What is the production lead time?
- What are the packing dimensions and gross weight?
- Can the product be shipped together with the rest of the order?
For a project with many items, the distributor may need to follow hundreds of separate details.
The information also arrives in different formats.
One factory may send a complete quotation and technical datasheet.
Another may send only a price and product photo.
A third may provide a catalog but no packing information.
Another may send a certificate showing a model name that is different from the quotation.
The distributor then has to identify what is usable, what is missing and what still needs clarification.
This work often takes more time than the original product search.
Why One Hospital Project May Involve Many Factories
No single factory can realistically manufacture every product required for a complete hospital project.
A hospital furniture factory may produce beds, cabinets and trolleys.
It may not manufacture patient monitors or infusion pumps.
A patient monitoring factory may not produce operating lights, sterilizers or laboratory equipment.
A diagnostic equipment manufacturer may not supply medical furniture.
For one multi-category BOQ, the distributor may need products from many specialized manufacturers.
Each factory focuses on its own product category.
Each factory has its own quotation format, document system, lead time and packing method.
From the factory’s point of view, this is normal.
From the distributor’s point of view, it creates a coordination problem.
The distributor still needs:
- One organized quotation
- One technical submission
- One freight calculation
- One production plan
- One consolidation schedule
- One final shipment
Finding many factories is not the same as coordinating one project.
What Lonrecon Manufactures and What We Source
Lonrecon is a factory and trading integrated supplier.
Some products are manufactured by Lonrecon.
Other products are sourced and coordinated through qualified partner factories.
We do not present every product as being manufactured in our own factory.
We believe the supply structure should be clear.
For products manufactured by Lonrecon, we manage the production, configuration, documents, packing and delivery directly.
For sourced products, we select suitable manufacturers based on the product requirement, available documentation, quality level, production capability and project schedule.
Our value is not pretending that every product comes from one production line.
Our value is knowing:
- Which products we manufacture directly
- Which products should come from specialized manufacturers
- Which suppliers can provide the required documents
- Which products can be consolidated
- Which risks need to be clarified before quotation
- How the different suppliers should be coordinated under one project
Not every product is manufactured in our own factory, but the complete project can still be supplied and coordinated by Lonrecon.

Why a Unit Price Is Not a Complete Quotation
Many factories can provide a unit price quickly.
But a unit price alone may not be usable for a tender or hospital project.
The distributor still needs to know:
- What model is being quoted
- Whether the model meets the requested specification
- What is included in the price
- Whether accessories are standard or optional
- Which certificates are available
- Whether the documents match the model
- What the warranty period is
- What the production lead time is
- What the packing dimensions and weight are
- Whether there are important specification deviations
Without this information, the distributor has a number but not a complete quotation.
The product may appear cheaper until the missing accessories are added.
The certificate may appear suitable until the model name is checked.
The freight may appear acceptable until the final packing volume is calculated.
A useful quotation should help the distributor understand both the price and the risk.
What Distributors Send Us
The starting information is different for every project.
Some distributors send a detailed BOQ.
Others send a simple product list.
Some projects already include certificates, delivery requirements and technical specifications.
Others contain only short product descriptions.
Useful information may include:
- BOQ or product list
- Required quantities
- Technical specifications
- Target country
- Tender closing date
- Required certificates
- Required documents
- Delivery deadline
- Budget range
- OEM or private-label requirements
- Installation requirements
- Room information where relevant
- Preferred shipping method
The information does not need to be complete before it is sent.
Part of our work is identifying the missing information that may change the product, configuration, price, documents or delivery plan.
What We Return
When Lonrecon reviews a multi-product BOQ, the distributor should not receive dozens of unrelated messages and files.
The information should be organized around the original product list.
Depending on the project, we may provide:
- A coordinated quotation table
- BOQ item number
- Proposed product and model
- Product image
- Main technical specifications
- Standard configuration
- Optional accessories
- Unit price
- Available catalog
- Technical datasheet
- Available certificates
- Warranty
- Lead time
- Packing dimensions
- Net and gross weight
- Specification deviations
- Questions requiring clarification
- Alternative product options
- Initial consolidation notes
The goal is to give the distributor one working project package.
The distributor can see what has been matched, what remains unclear, which documents are available and where a decision is still required.
Instead of contacting many factories and reorganizing different files, the distributor works with one main supply-side contact.
The Problems We Check Before the Quotation Is Finalized
A typical multi-category quotation may contain several hidden problems.
A factory may provide a price but no usable technical datasheet.
A catalog may show several models without identifying the exact quoted version.
A certificate may show a different model name.
A low-priced offer may exclude important accessories.
A large product may have no packing information.
One product may have a production time that is much longer than the rest of the order.
A specification may combine features that are not normally available in one model.
If these issues are not identified early, the distributor may discover them after the tender price has been submitted or after the order has been confirmed.
Lonrecon reviews the project to identify questions such as:
- Does the proposed model match the main requirement?
- Is the quoted configuration complete?
- Are any important accessories missing?
- Does the catalog support the quoted specification?
- Does the certificate relate to the proposed model?
- Is the lead time realistic?
- Is the packing data available for freight calculation?
- Will one delayed product affect the complete shipment?
- Does the customer need to clarify any technical requirement?
Not every issue can be removed.
But the distributor should know where the risks are before making a commercial commitment.

How We Review Catalogs, Specifications and Certificates
Collecting documents is not the same as checking documents.
A factory may send a certificate, but that does not automatically mean the document is suitable for the quoted product.
Where possible, we compare:
- Quoted product name
- Quoted model
- Catalog model
- Datasheet model
- Certificate model
- Manufacturer name
- Product category
- Standard configuration
We also check whether important technical information is missing or inconsistent.
For example, the quotation may show one battery duration while the catalog shows another.
The BOQ may require an accessory that is not included in the standard configuration.
The certificate may apply to a product family but not clearly show the quoted model.
When the relationship between the product and document is unclear, we explain it.
We do not send unrelated certificates simply to make the document file appear complete.
A missing document can be discussed before submission.
An incorrect document may create a larger problem during tender review, registration or import clearance.
The final acceptance of any certificate still depends on the buyer, tender authority and local regulatory requirements.
Our role is to improve document consistency and make the available information clear.
Why Accessories and Packing Data Matter
A low unit price does not always represent the real project cost.
Medical equipment often requires accessories, options or supporting products.
A patient monitor may need additional sensors.
A hospital bed may require a mattress, IV pole or bedside cabinet.
A suction unit may require a different bottle configuration.
An operating light may need a specific mounting structure.
A diagnostic device may require probes, software, a printer or a workstation.
If the missing items are identified after the quotation is submitted, the distributor may need to absorb the extra cost.
Packing information creates another risk.
Large products such as hospital beds, cabinets, trolleys and examination couches may have a competitive factory price but a high freight cost.
For this reason, we try to confirm or estimate:
- Carton or wooden-case dimensions
- Gross and net weight
- Total cubic metres
- Stackability
- Battery information
- Special handling requirements
- Container type
- Mixed-loading possibilities
The final figures may change during production.
However, early packing information gives the distributor a better basis for calculating landed cost and protecting the project margin.
How We Coordinate Production and Consolidation
The work does not end when the order is confirmed.
A multi-factory project depends on the production schedule of every important supplier.
If most factories finish on time but one critical product is delayed, the complete shipment may still be affected.
Lonrecon remains the main supply-side contact for the coordinated order.
Our work may include:
- Confirming production schedules
- Following production status
- Collecting missing documents
- Confirming final packing information
- Coordinating domestic delivery dates
- Checking quantities before consolidation
- Identifying delayed products
- Preparing loading and consolidation plans
- Coordinating commercial invoices and packing lists
- Supporting shipment preparation
This does not guarantee that every factory will finish without delay.
It gives the distributor one party to follow up with instead of managing every supplier separately.
When a problem occurs, we coordinate the information and possible solutions from the China supply side.
The distributor does not need to search through previous messages to identify which factory should respond.
One Supply-Side Contact for the Complete Project
The products may come from different factories.
The project should not feel like a collection of unrelated orders.
Lonrecon acts as the main supply-side contact for the products coordinated through us.
For the distributor, this can reduce work in several areas.
When the Distributor Coordinates Factories Separately
- Many supplier contacts
- Different quotation formats
- Repeated requests for catalogs and certificates
- Separate checks for each model
- Different production schedules
- Packing data received at different times
- Several domestic deliveries
- Different parties handling problems
When Lonrecon Coordinates the Project
- One main project contact
- Products organized according to the BOQ
- Specifications and configurations presented together
- Available catalogs and certificates collected with the quotation
- Deviations marked before submission
- Production status followed across suppliers
- Packing data collected for freight planning
- Consolidation coordinated as one project
The distributor still controls the selling price, margin, tender strategy, end customer and local execution.
Lonrecon organizes the supply side.
We Support the Project Without Taking Over the Customer
The distributor owns the customer relationship.
The distributor finds the opportunity, communicates with the hospital, manages local requirements and takes responsibility for the commercial relationship.
Lonrecon does not need to take over the end customer in order to review a BOQ or coordinate a project.
When technical or site information is required, the distributor can send us:
- Room dimensions
- Site photos
- Floor plans
- Power information
- Connection requirements
- Installation expectations
- Questions from doctors or biomedical engineers
We review the information and prepare the points that still need clarification.
The distributor remains the main communication channel with the hospital.
We do not treat the end user as our independent sales lead.
We do not use project support as a reason to approach the hospital behind the distributor.
Our role is to help the distributor complete the project, not compete for ownership of the customer.

What We Do Not Do
We do not claim that one factory manufactures every product required for a complete hospital project.
We do not present sourced products as if they were all made on our own production line.
We do not hide specification deviations to make a product appear compliant.
We do not provide unrelated certificates simply to complete a file.
We do not treat a unit price as a complete quotation.
We do not assume that the lowest price produces the best project result.
We do not wait until shipment to ask basic questions about accessories, packing or installation.
We do not contact the hospital behind the distributor.
We do not promise that every requested product or document will always be available.
When a requirement cannot be met, we prefer to explain the gap before the quotation is submitted.
The distributor needs a clear project picture, not a quotation that only looks complete.
